Finance Assistant





Job Description

Excellent opportunity for a Finance Assistant. This is a permanent position based in Aberdeen City Centre.

Main Responsibilities:

  • Maintain Accounts Receivable ledger in Xero accounting system, including customer master data, posting invoices and processing receipts
  • Upload sales invoices to banking platform and to client portals
  • Credit control
  • Maintain Accounts Payable ledger in Xero, including supplier master data, posting invoices and processing payments
  • Bank reconciliations for Current Accounts and Trade Finance Accounts
  • E.R (month end reconciliation) for banking platform
  • Prepare and process self-billing invoices
  • Control account reconciliations for contractor time entries and invoices
  • Process journal entries for monthly accruals and prepayments
  • Update Project Summary report to monitor monthly and YTD revenue, costs and GP
  • Monthly VAT return
  • Manage Accounts mailbox
  • Preparation of client timesheets
  • Client billing in accordance with contracts and PO’s

Preparation of weekly operational reports:

  • Time-writing summary
  • Live project summary
  • Dashboards

Project administration:

  • Maintain customer PO register
  • Create projects within Mavenlink (project software system)
  • Assist Team Leads in maintaining scheduling for all live projects
  • Assist Team Leads in reporting project health via Mavenlink
  • Ensure all Mavenlink processes are being applied efficiently and effectively
  • Other support for Operations Manager and Team Leads, as required

In order to be considered for this opportunity you must be able to demonstrate:

  • Working knowledge of double-entry bookkeeping
  • Experience in Project Accounting / Administration preferred.
  • Excellent computer literacy and familiar with all apps within Microsoft Office (particularly Excel)
  • Knowledge of local taxes such as PAYE and VAT
  • Sound understanding of working within a busy finance team
  • Disciplined, organized and high attention to detail
  • Excellent English communication skills both verbal & written
  • Self-starter, ability to work under pressure and meet deadlines
