Job Description

Fantastic opportunity for an Events Coordinator to join our client on a full-time permanent basis near Sauchen, Aberdeenshire. This unique opportunity will involve events management including weddings and sales and marketing for the estate.

The Events Coordinator will be responsible for: 

Sales & Marketing:

  • Understand industry trends
  • Website design and content, keeping it up to date and current
  • Blog posts (ideas, content, creation and exposure)
  • Brochure content (copy and design, keeping it up to date and current)
  • Maintaining photo database from all weddings that can be used for promotional purposes
  • Social media (Facebook & Instagram content)
  • Press releases
  • Organising wedding open days and photoshoots (planning, design, delivery, promoting)
  • Researching opportunities to increase exposure and promotion of the site

Advertising:

  • Researching wedding advertising opportunities and platforms to feature on
  • Compiling annual advertising plan & budget
  • Advert design

Figures/Budgets/CRM:

  • Update budgets for annual sales
  • Update and track cost of sales for all events
  • Logging all enquiries & site visits
  • Tracking reports (conversion rates)
  • Competitor analysis
  • Setting pricing and packages that are competitive within market place

Weddings:

  • Full wedding planning
  • Liaising with all couples offering support and guidance
  • Liaising with suppliers prior to weddings
  • Compiling wedding briefings and issuing to all members of staff
  • Wedding management (on the day)
  • Supervising staff and suppliers to ensure smooth running of wedding day
  • Confirming staffing requirements
  • Confirming Butler requirements
  • Organising welcome hamper for guests
  • Maintaining wedding schedule master document for clients

General Administration:

  • Enquiry responses from all avenues (email, website, calls, social media messages)
  • General correspondence / liaising with clients
  • Organising site visits
  • Follow ups from enquiries / site visits
  • Negotiating prices (if required)
  • Contracts and invoicing
  • Overseeing the diary (provisional holds & confirmations)
  • Compiling master drafts for all correspondence (enquiry, follow up emails, booking correspondence i.e, contracts & deposit invoices

Housekeeping:

  • Overseeing housekeeping requirements such as linen/towels/toiletry supplies
  • Ordering supplies when required

Castle:

  • Ensuring product matches client expectations
  • General upkeep of castle and suggesting improvements required to maintain high standards
  • Ordering products / stock requirements when needed
  • Interior design ideas and suggestions
  • Sourcing & ordering new items for castle

In order to be considered for this opportunity you must be able to demonstrate:

  • Previous events management experience
  • Prior sales/marketing experience
  • Excellent communication skills
  • Excellent organisation and planning skills with ability to manage a busy and varied workload
