Office Administrator - Aberdeen

Working as part of an established property team, we are looking to recruit a “front of house” property executive/office co-ordinator.   The successful applicant must be able and willing to take on a number of duties connected to the smooth running of a busy office. 

Key Skills

  • You must be an organised individual and have the ability to prioritise tasks efficiently and effectively to ensure the smooth running of a busy branch office.
  • You must have a professional telephone manner, good communication skills and the ability to work well with others.
  • You should have strong IT skills, some secretarial experience would be an advantage and ideally have previous property experience.
  • You must be able to take control of a situation and deal with enquiries in a confident manner
  • You must be able to take control of matters within your control and ensure that client's expectations are met
  • You must be presentable in your appearance and pleasant in your manner
  • You must have a full UK driving licence

Education

  • Standard Grade or equivalent in English and Maths with good grades is essential for the role.
  • Strong IT skills are essential

Key Responsibilities:

Maintaining a clean, tidy and welcoming reception areas at all times
Dealing with telephone calls and general enquiries efficiently
Management of diaries and co-ordination of property staff/duties
Administration of website insertions/updates
Arranging property viewings/client feedback and updating property logs
You must have a sound knowledge of local property market
Arrange and carry out property valuations
Plan marketing strategies in conjunction with clients and appropriate Partner/Fee Earner
Write accurate property particulars and prepare attractive property schedules
Liaison with surveyors; collating information and organising Home Reports; working with clients to organise remedial works as necessary
Regular contact with clients throughout marketing process
You must have an interest in property within the Aberdeen/shire area and be able to respond accurately and confidently to queries which may arise from time to time.
You must be prepared to assist with non-property related development issues from time to time

Business Development

  • You must have an interest in property within the Aberdeen/shire area and be able to respond accurately and confidently to queries which may arise from time to time.
  • You must be prepared to assist with non-property related development issues from time to time
  • You must continually seek to identify new business opportunities for the firm.
